Accepted Methods to file your quarterly report, wage detail, and pay Unemployment Insurance contributions

1)  Submit your quarterly report online through the Unemployment Insurance
      Tax System (UITS)

  • Recommended for employers with less than 1,200 wage records.
  • Employer information is pre-populated.
  • Submit quarterly report online and choose from three payment options.
  • Submit wage detail via:
    • Manual entry - Pre-populates employee's Social Security Number from the previous quarter's Employer's Contribution & Payroll Report.  Each time you enter UITS for online reporting, additional employee information such as Last Name, First Name, Middle Initial (if available) will pre-populate into the system, thus reducing manual entry of employee data.  Based on the employee's total wage detail entered, UITS automatically calculates the taxable wages and contributions due (if any).
    • File import -  (Available to online filers only) Import employee's wage detail by creating a file or modify an existing file in a .CSV format a Please note:  All files MUST have the comma-delimited (.CSV) extension (for example: wagereport.csv).  Files imported without this extension will be rejected. Please refer to the File Import Instructions for additional information.
  • Pay online via:
    • eCheck
    • MasterCard
  • Print a payment voucher and mail with paper check

2)  Online filing and ICESA formatted CD

  • Recommended for employers with more than 1,200 wage records.
  • Employer Information is pre-populated.
  • Submit quarterly report and wage totals online.
  • Submit wage detail via CD in the ICESA format.  Please note:  All CDs MUST use the ICESA format and have the extension of .TXT (for example: uiwage.txt).  CDs sent without this extension will be rejected.  Please refer to the ICESA Formatting Requirements for additional information. 
  • Pay online via:
    • eCheck
    • MasterCard
  • Print a payment voucher and mail with paper check.

ATTENTION MAGNETIC MEDIA FILERS

Effective February 26, 2010 Iowa Workforce Development will no longer accept magnetic media (CDs or Diskettes) for filing unemployment insurance data.  Any magnetic media submitted after February 26, 2010 will not be processed.

Iowa Workforce Development is nearing completion of its new tax system, myIowaUI.  This system allows employers and accountants to easily file quarterly reports and manage unemployment insurance tax accounts online, similar to an online bank account.

What are my options for filing quarterly reports in 2010?

  • Manual Entry - Login to your online tax account and enter your wage information.
  • File Import - Login to your online tax account and upload a comma-delimited (.csv) file with your wage information.  Comma-delimited files can be created using a spreadsheet program, such as Microsoft Excel.  If you currently use this method to file quarterly reports on UITS, the format for CSV files for myIowaUI will be slightly different than what is currently required.
  • Secure File Transfer - Send your wage information electronically to a secure server; this information will include the report, wage information and payment.  The XML format is based on TIGERS FSET Version 2.1.

Information on how to create a CSV file that can be uploaded to myIowaUI will also be available on the website shortly.

3)  Paper filing

  • Submit the quarterly report and wage detail by mail, or
  • Submit the quarterly report and wage detail on CD in the ICESA format by mail.
  • Submit payment via paper check or money order by mail.  Please note:  Reports must be postmarked by the quarterly due date or a delinquency penalty will be assessed.
